About Truliving Vallecas

Truliving Vallecas is a 285-apartment hybrid living property in Madrid. It runs a flex-stay model, blending short stays and extended stays of weeks to months, sitting firmly between traditional hospitality and residential living. Guests average 20 nights per stay – a new kind of customer that demands a new kind of operating model.

Mews sits at the center of that model, with PMS, Payments, Mews BI and RMS managing a complex mix of transient and long-stay inventory, recurring billing and a digital-first guest journey. Truliving Vallecas is also an active co-development partner: working directly with Mews product and engineering teams to shape the long-stay contracting, automation and payment workflows that will scale as the brand grows. Challenge

Running 285 apartments across a hybrid short- and long-stay model means coordinating Mews with Salesforce, Excel and a separate contracting tool. When a long-stay contract was signed, someone had to manually block the room in Mews. Contract documents were downloaded from one system and uploaded to guest profiles in another.

Solution

Mews is the central operating system behind the entire operation. Truliving Vallecas is using the newly-developed direct connection with Docusign in order to centralize and manage contracts from PMS directly.

Challenge

Pricing across both short- and long-stay channels is complex. Short-stay demand fluctuates with events, seasons and competitor rates, while long stays follow different patterns entirely. Managing rate structures manually across multiple channels left revenue on the table and placed a heavy operational burden on a lean team.

Solution

Mews RMS automated rate management across space types and channels. Rate structures were cleaned up flex and non-refundable rates are now mapped consistently, so RMS recommendations cascade correctly from base rates across all channels. D-Edge channel management keeps Mews as the single source of truth for availability, rates and restrictions. The result is a pricing engine that responds to transient demand signals in real time, without manual intervention, while the team focuses on the long-stay commercial relationships that define the property’s revenue mix.

Long-stay revenue works differently from hotel revenue. Deposits need to be collected, held and refunded under contract terms that vary by property structure. For Truliving Vallecas, the mechanics of deposit handling, first-month rent collection and recurring monthly charges sit at the intersection of hospitality payments and residential finance, and most hotel payment systems aren’t built for it.

Solution

Mews Payments handles the full payment lifecycle for long-stay guests. Deposits and first-month rent are collected by card at the point of contract signature, with monthly recurring charges via Mews Payments plans. Alternative payment methods are activated for guests who prefer local options. The configuration distinguishes between different contract structures, ensuring deposits are handled correctly under each. A guest staying 20 nights has a fundamentally different journey than someone checking in for two. Online check-in, pre-arrival communication, access coordination and move-out flows all need to work smoothly. And at a partially unstaffed property, digital touchpoints are crucial.

Solution

Mews powers an end-to-end digital guest journey built for long stays. Pre-arrival communications go out automatically, with online check-in links that already achieve a 22% conversion rate – strong for a property type where guests often arrive with more luggage and logistics than a typical hotel guest. Mews Housekeeping manages room readiness and recurring cleaning schedules aligned to flex-stay cycles, replacing Excel-based cleaning rosters with a mobile-first workflow for the on-site team.
