Spa management for hotels, with Mews-integrated guest lookup and charge-to-room.

Saoma Platform & Mews Integration Overview

Saoma was designed specifically for the operational needs of a spa — variable appointment durations, treatment rooms with single-occupancy constraints, therapist availability and specializations, post-treatment commissions, and bilingual client communication — rather than adapted from a generic appointment booking tool.

The platform serves three user roles from a single product:

  • Web admin dashboard for spa managers and front-office concierges, covering venue setup, treatment catalogs, treatment-room management, the booking calendar with day/week/therapist views, financial reporting, and per-property branding.
  • Mobile PWA for therapists, allowing them to view their schedule, accept or decline assignments pushed by the platform, add on-the-spot treatments during a session, and track their earnings, which are paid out automatically through Stripe Connect.
  • Public client booking flow — no login required, accessible by direct link or QR code placed in hotel rooms, designed for low-friction reservation from a smartphone in the guest's preferred language.

How the Mews Integration Works

When a hotel uses Saoma alongside Mews, the integration provides two main capabilities:

1. In-House Guest Lookup

When a spa booking is being created (either by the hotelier on behalf of a guest or by the guest themselves from the online booking flow), entering the room number triggers a lookup against `reservations/getAll` filtered on in-house reservations within a 24-hour window. The matching reservation's customer is returned and used to pre-fill the booking form with the guest's name, email, and phone — removing duplicate data entry and reducing booking errors.

2. Automatic Charge to Room

When a spa booking is completed and the hotelier has enabled the "charge to room" payment method, Saoma posts an order to the guest's Mews account via `orders/add`, using the Spa `ServiceId` and the optional `AccountingCategoryId` configured by the hotelier in the Saoma admin. The Saoma booking reference is included in the order `Notes` field for reconciliation on the hotel's side.

Configuration

Configuration is per-property: each hotel provides its own Mews `AccessToken` through the Saoma admin dashboard, selects the relevant Spa Service from a dropdown populated via `services/getAll`, and toggles the guest-lookup and auto-charge-to-room features independently.

Both features can be enabled together for the full plug-and-play experience, or independently — for example, a property may want guest pre-fill but settle spa charges through its own payment terminal.

The integration is currently single-property: each Mews property is configured with its own `AccessToken` in Saoma, and Saoma does not use the Mews Multi-Property portfolio feature.
